Getting started

Set up your assistant in three steps

From website input to your first test call.

  • Open /setup and enter your company website. Callwave reads services, business hours, and common questions from it.
  • Choose industry, voice, and language (German, Serbian, or Croatian). Customize the greeting.
  • Start a test call directly in setup. Then enable call forwarding and calendar in settings.

Import, supplement, and keep content up to date.

  • Under Knowledge Base, you can import website content or add text manually.
  • Structured sections (services, FAQ, business hours) help the assistant respond accurately.
  • After major website changes, re-import to keep answers current.

Integrations

Set up call forwarding

Forward incoming calls to your landline or mobile number.

  • Under Settings > Phone, enable forwarding and enter your target number.
  • Decide whether calls outside business hours are forwarded or handled by the assistant only.
  • Test forwarding with a call before going live.

Book appointments

Schedule appointments with Callwave Calendar or Google Calendar.

  • In the internal Callwave calendar, set business hours, buffer times, and booking windows.
  • Optionally connect Google Calendar — appointments then appear in both systems.
  • The assistant checks availability during the conversation and confirms booked appointments.

  • Describe role and tone: friendly, factual, concise.
  • Define clear boundaries: What can the assistant decide, when should it forward?
  • List typical inquiries for your industry (appointment, price, emergency, callback).
  • Provide example answers for common questions.
  • Test after every change with a real call.

  • Review failed calls in the dashboard and read transcripts.
  • Missing information? Add to the knowledge base instead of lengthening the prompt.
  • For repeated errors: simplify greeting, tighten forwarding rules, adjust voice or language.

Multilingual calls

Use German, Serbian, and Croatian in your assistant.

  • Enable desired languages under Settings > Language.
  • Set a primary language and optionally language selection at call start.
  • Ensure knowledge base content is available in the desired language.

Transcripts, duration, and appointments at a glance.

  • Under Calls, see all conversations with status, duration, and transcript.
  • Under Appointments, find booked and upcoming appointments from calendar integrations.
  • Use recurring patterns (common questions, peak times) to optimize your knowledge base.
